POSITION SUMMARY: (The primary function/purpose of this job.)

The Administrative Assistant provides administrative and clerical support to the operations department preparing files and reports and assisting with driver payroll.

ESSENTIAL FUNCTIONS: (The major task areas required of the incumbents to successfully perform in this job.)

+ Prepare and transmit to headquarters by facsimile various operating reports, addressing topics such as driver route sheets, meter/delivery tickets, COD's, BOL's, pricing, and payroll related matters every morning.

+ Provide data entry relating to and maintain various operations monitoring spreadsheets, addressing topics such as payroll, equipment maintenance, and other important performance measures.

+ Compute hours of work and volume of product delivered for each driver in preparation of biweekly payroll.

+ Record and prepare employee timesheets for operations personnel.

+ Orders and maintains records for Safety Equipment, all driver uniforms, and supplies within the department.

+ E-mail daily transactions reports to various clients.

+ Adjust product price changes in MCC computer systems.

+ Compose and type routine correspondence and update departmental calendars.

+ Daily entering of drivers' efficiency report.

+ Tracking maintenance of skid tank program and locations of skid tanks.

+ Order office supplies as needed.

+ Assist customer service with customer complaints

+ Prepare various spreadsheets for the Regional or District Managers.

+ May assist with travel and accommodation arrangements for management and field personnel.

+ Other duties as assigned.

QUALIFICATIONS: (Minimum requirements to competently perform the key responsibilities of this job in terms of educational background, work experience, licenses/certifications or other knowledge, skills, and abilities.)

+ Requires education generally equivalent to successful completion of 4-years of high school or equivalent plus some additional specialized training.

+ Requires up to three months prior administrative experience.

+ Requires the ability to process complex time sensitive data and information from multiple sources, make decisions based on this data, and to effectively communicate related required actions to a broad audience.

+ Requires the ability to present a professional image and to encourage others to do the same.

+ Requires strong teamwork and flexibility to accomplish goals and department deadlines.

+ Requires strong customer orientation in interacting with and resolving issues in a timely, professional and positive manner.

+ Requires knowledge of and the ability to use a variety of standard office equipment such as a 10-key calculator, telephone, and computer, printer and facsimile machine.

+ Requires knowledge of computer software such as Microsoft Office Suite, and MCC systems.
